Keeping Project latest documents for easy accessible to the project team and approved list of deliverables and controlling access to the confidential documents.
Controlling and archiving Project Control and Contract Management Documents like Potential Change Recommendation (PCR), Program Change Control Notice, Variation Orders/EOTs, etc.
Keeping an accurate and complete archive of Project documents to the permanent organization at the end of the Project using an accurate file structure.
Communicating with different Stakeholders for obtaining approval on design submission by the Design Consultant (from Concept Design to Construction Documents) and keeping design review documents and communicating with Designers for implementing next stage of design development or revising the same stage.
Generating and controlling logs for all documents.
Generating status of documents periodically as required by the Manager Projects Control and Plan.
Performing the role of Aconex organization administrator.
Document compilation for the preparation of Request for Proposal (RFP), Scope of Work, etc.
Perform quality control checks to ensure Company, Consultants, Contractors and subcontractors’ generated documents comply with Company document management system and incompliance with QA/QC.
Training additional Project Document Controllers and project team members to have a clear understanding of Company or Project specific policies, procedures and software related to access and review documents.
Raising and managing the Project Purchase Requests (PR’s) through ERP “I Procurement System”.
Communicating with Finance/Procurement and Contracts Departments for Budget approval and cost codes, etc. to raise PR through Oracle ERP for new task/work.
Other office administration tasks.
