Document Control Lead
I was brought in to introduce a structured EDMS system, after comparing several systems I put together a business plan to migrate all documentation under an Aconex system for all projects and associated companies.
Having full administration rights as an Aconex Specialist I set up all project areas, user accounts and access levels for all Sycamore staff, associated companies and sub-contractors.
I set up the work flows for review and approval of all project documents and drawings and email templates for user groups.
I introduced standard templates for project documents and forms with correct branding and layout for Sycamore and associated companies.
This has enabled Sycamore and the associated companies to run reports on the statuses of all documents, drawings and effectively close out emails and RFI’s and highlight any outstanding actions or delays to projects.

Managing Document Control Procedures following both the Clients Supplier Quality Management System Requirements and Office for Nuclear Regulation (ONR) Management of Documentation guidance.
Implementation of security measures for safe storage, transmittal, retrieval and disposal of documentation following guidance for MOD List X Contractors.
Working with the Quality Manager producing Lifetime Quality Records (LTQR) packages at various project hand over stages.
Producing Operating and Maintenance Manuals and Inspection and Test Plans (ITP's) for units installed and commissioned by Boulting Nuclear.
Conducting review meetings for documentation that require sign off.
Ensure Boulting Nuclear follow agreed procedures across all sites by conducting visits and offering guidance and support.

Controlling the efficient flow by uploading documents and drawings, TQ’s and RAMS onto Conject/Aconex and managing the clients project mailbox and EDRMS system.
Maintaining the document register in excel format and carrying out document number requests for staff and site based Contractors.
Regular site visits to ensure document control procedures are maintained, training Contractors on the correct use of Conject/Aconex software.
Reworking documents on behalf of Mace staff ensuring they meet the agreed client requirements before transmitting for review.
Controlling access to Conject for the Horizon staff and Contractors ensuring they have the correct access levels and permission rights.
Document Control Specialist

Ensuring that documents and technical drawings are distributed and commented on within the agreed time scales. Checking Contractors documentation meet HS2 requirements for metadata, document numbers and templates.
Reworking documents back to site teams using Adobe on behalf of G.I. specialists and carrying out document number requests.
Transmitting Contractor requests for payments and invoices to the Accounts department and expediting documents for Engineers and other document control duties as required.

Managing the flow of comments on drawings and documents within agreed timescales using: Conject, Microsoft Document Manager and HAL Document Control and Citrix software between Contractors and the client whilst maintaining the project mailbox.
Ensuring close out of technical quires and reviews are carried out and fed back to the Babcock team within agreed timescales by attending progress meetings and reporting on document statuses.
Migration of drawing and document packages between Babcock and Heathrow for handover.
